BILLING, REFUND AND CANCELLATION POLICY

Effective date: August 24, 2026

This policy explains the billing, refund, and cancellation practices of Matrix Marketing LLC, doing business as Matrix Marketing.

The applicable proposal, order form, service agreement, subscription plan, invoice, or checkout page may contain additional terms.

If a signed agreement conflicts with this general policy, the signed agreement will control for that purchase.

1. Clear Pricing Before Purchase

Before payment, customers will be shown or provided with:

  • The product or service being purchased

  • Included deliverables or software features

  • One-time charges

  • Recurring charges

  • Billing frequency

  • Applicable setup charges

  • Usage-based charges, when applicable

  • Expected delivery or implementation timing

  • Cancellation instructions

  • Refund eligibility

Customers should review these terms before purchasing.

2. Custom Services

Custom services may be billed:

  • In full before work begins

  • Through an initial deposit and final payment

  • Through project milestones

  • Through a recurring service agreement

The applicable proposal or agreement will identify the payment schedule.

Payments covering completed work, reserved time, purchased materials, third-party expenses, or delivered services are nonrefundable unless the applicable agreement states otherwise or a refund is required by law.

3. Software Subscriptions

Software subscriptions are billed in advance at the frequency disclosed before checkout.

By purchasing a recurring subscription, the customer authorizes Matrix Marketing and its payment provider to charge the selected payment method until the subscription is canceled.

Subscriptions automatically renew unless the applicable checkout page or agreement clearly states otherwise.

4. Usage-Based Charges

Certain software or communication features may generate usage-based charges, including charges associated with:

  • Telephone calls

  • Text messages

  • Email delivery

  • Artificial-intelligence features

  • Telephone numbers

  • Third-party integrations

  • Other metered services

Applicable usage charges are separate from the base subscription unless expressly included in the selected plan.

5. Failed Payments

Customers are responsible for maintaining a valid payment method.

If payment fails, we may:

  • Retry the payment

  • Notify the customer

  • Restrict affected features

  • Suspend the account

  • Terminate the service after reasonable notice

The customer remains responsible for valid outstanding charges.

6. Subscription Cancellation

Customers may cancel an eligible recurring subscription by:

Using the cancellation option available inside their account, when provided or emailing support@[email protected] as a second option. Email must be sent 3 days prior to subscription renewal or cancelation will apply the following subscription cycle.

Cancellation requests should be submitted before the next renewal date.

After cancellation:

  • Future automatic renewals will stop.

  • Access generally continues through the end of the already-paid billing period.

  • Previously processed subscription charges are not automatically refunded.

  • Usage charges incurred before cancellation remain payable.

We will provide confirmation after processing a cancellation request.

7. Custom-Service Cancellation

A customer requesting cancellation of a custom project remains responsible for:

  • Future automatic renewals will stop.

  • Access generally continues through the end of the already-paid billing period.

  • Previously processed subscription charges are not automatically refunded.

  • Usage charges incurred before cancellation remain payable.

8. Refunds

Refund eligibility depends on the type of purchase.

A. Custom Services

Payments for completed work, delivered assets, reserved time, setup work, and approved third-party costs are nonrefundable.

If Matrix Marketing cannot deliver a paid service, we will either provide a reasonable alternative, extend the delivery schedule with the customer’s agreement, or refund the eligible amount associated with the undelivered portion. All custom services are agreed upon by both parties.

B. Software Subscriptions

Subscription payments are generally nonrefundable after the billing period begins. Reminder emails, text messages or other ways of notifications to remind you of your subscription may or not may be delivered based the individuals inbox rules.

We do not provide prorated refunds for unused time unless required by law or expressly stated during checkout. Canceling prevents future renewals but does not automatically reverse a valid charge already processed.

C. Duplicate or Incorrect Charges

Subscription payments are generally nonrefundable after the billing period begins. Reminder emails, text messages or other ways of notifications to remind you of your subscription may or not may be delivered based the individuals inbox rules.

We do not provide prorated refunds for unused time unless required by law or expressly stated during checkout. Canceling prevents future renewals but does not automatically reverse a valid charge already processed.

9. Refund Requests

To request review of a charge, email [email protected] within 5 calendar days of the charge.

Include:

  • Customer name

  • Business name

  • Account email

  • Invoice or transaction number

  • Charge date and amount

  • Reason for the request

Do not email complete payment-card numbers.

Approved refunds are returned to the original payment method. Financial institutions may require additional time to post the refund.

10. Free Trials and Promotional Offers

Matrix Marketing does not offer a free trial unless a specific offer expressly states otherwise.

Any trial or promotional offer will disclose:

  • Its duration

  • What is included

  • Whether payment information is required

  • When paid billing begins

  • The recurring price

  • How to cancel before being charged

11. Price Changes

We may change future pricing upon reasonable notice.

Price changes will not retroactively alter charges already paid.

Recurring customers will receive notice before a changed price applies to a future renewal when required by the applicable agreement or law.

12. Charge Questions and Disputes

Customers should contact [email protected] before initiating a payment dispute so we can investigate and attempt to resolve the issue.

Nothing in this policy limits lawful payment-dispute or consumer-protection rights.

Matrix Marketing LLC has the right to protect its reputation if the customers actions result in defamation.

13. Billing Descriptor

Charges may appear on a statement as:

Matrix Marketing

Matrix Funnels

Matrix Marketing Academy or an other variation of those names.

Customers should ensure that employees or authorized users responsible for reviewing business charges recognize this descriptor.

14. Governing Law

These Terms are governed by the laws of the State of Colorado, without regard to conflict-of-law rules.

Any dispute will be handled in the applicable state or federal courts located in Colorado Springs Colorado, unless a written agreement provides a different lawful process.

15. Changes to These Terms

We may update these Terms as our services or legal obligations change. Revised Terms will be posted with an updated effective date.

Changes will not retroactively alter a signed agreement unless the parties agree in writing.
